CARVENZA PRIVACY POLICY — BUSINESS REVIEW REQUIRED BEFORE LIVE USE
Carvenza Holdings Pty Ltd (ABN 47 700 683 629), Melbourne, Australia.
Privacy contact: carvenzaholdings@gmail.com.
1. Information we collect
We collect account and contact details, date of birth to assess the minimum rental age, residential address, licence details, requested rental dates, emergency contact, documents reasonably required to assess a rental, application decisions, payment status and accepted agreements. Requested documents include a current driver licence, valid passport, visa or VEVO evidence where applicable, and proof of address. Australian citizens or other applicants not requiring a visa can explain their circumstances for manual review; unnecessary immigration evidence is not required merely by this template. Import and sale enquiries collect the contact and vehicle requirements you provide. Referral participants provide payout bank details only after reward eligibility. Do not send passwords, card details or unnecessary identity information through enquiry messages.
2. Why we use it
We usually collect information directly from you through forms, account activity and correspondence. Where another lawful source is needed to verify an application, Carvenza must explain that process. If required information is missing or inaccurate, we may need further evidence or be unable to assess the requested rental. You can contact us to discuss what information is reasonably necessary.
We use this information to assess applications, verify information manually, communicate with you, prepare rental schedules, administer rentals, receive and verify payments, arrange requested vehicle sourcing, maintain agreements and administer eligible referral rewards. An application does not guarantee approval. Marketing consent is separate; submitting an application is not consent to unrelated marketing.
3. Storage and access
The site's application details, identification documents, accepted agreements and referral bank details are encrypted in the database. Document downloads require the customer account that submitted the application or an authorised Carvenza administrator. Application status, references, amounts and audit events are operational records. Use a private device and protect your password. No internet or email system can be guaranteed completely secure. A PDF copy of the completed rental application is emailed on submission to the customer's recorded account email and Carvenza's notification email. It contains the supplied application details, including contact, address, birth date, licence details, rental preferences and typed declaration. After final agreement acceptance, a separate signed agreement PDF is emailed to the customer and Carvenza. Identity-document images are not attached to either email; they remain accessible through the protected portal. Email is not end-to-end encrypted by this plugin, so recipients must safeguard these copies and their inboxes. Check your email address carefully.
4. Service providers and disclosure
Authorised staff and service providers may process information reasonably necessary for this service, including hosting, email delivery, GoCardless for bank-payment authorisation and processing, and Stripe only if offered. Bank payment details entered on GoCardless-hosted pages are collected by GoCardless, rather than stored as payment account numbers in this application. Referral payout bank details supplied here are stored encrypted. We may disclose necessary information to insurers, roadside assistance providers, relevant authorities or others where authorised or required by law. Carvenza must identify its actual hosting/email providers and applicable overseas processing locations before launch. Read the payment provider's own privacy notice before authorising a payment.
5. Retention
We keep records only for legitimate operational, dispute and lawful record-keeping needs. Carvenza must finalise the applicable retention periods and secure deletion schedule before opening applications. The plugin does not automatically delete records on a timed schedule. Files in email inboxes and backups must also be managed under that policy. Customers may ask us about their information; some records may need to be retained where legally required.
6. Access, correction and complaints
Contact the privacy email above to request access or correction or raise a privacy concern. We may reasonably verify your identity before releasing information. We will investigate and respond within a reasonable period. If you remain dissatisfied, you may contact the Office of the Australian Information Commissioner where applicable. This policy does not determine whether every Privacy Act obligation applies to this business; Carvenza must review its actual obligations and operation.
7. Cookies and accounts
WordPress uses cookies to keep signed-in sessions secure and maintain account functionality. Hosting and security services may keep technical request logs such as IP address, request time, browser information and errors; actual providers, purpose and retention must be disclosed before launch. Rejecting necessary login cookies can prevent account functionality. External links and hosted payment pages have their own privacy practices, which you should review. This version does not add advertising trackers. Carvenza must update this notice if it later installs analytics, advertising or additional third-party plugins. Applications, document downloads and the customer portal must use HTTPS and be excluded from public caching.
8. Updates
We may update this notice when operations change. The current version is published on the Privacy Policy page. Material changes affecting existing agreements will be communicated as appropriate.
CONTRACT-FIRST BOOKING AND RECORDS
Application submission does not reserve a vehicle or confirm a booking. Carvenza reviews documents and two customer references, confirms the final price, approved dates, additional services and actual insurance arrangement, then publishes the agreement. The customer signs it and Carvenza approves that exact version before any new payment can be initiated. Bank transfer requires separate permission and independent verification of funds. Direct Debit authorisation and pending processing do not mean received money. Booking confirmation requires all approvals and verified required upfront payment. A numbered payment receipt is issued for verified receipts; rent, security bond and additional charges are recorded separately. An extension is a separate request requiring approval and signature; the original return time remains until it is confirmed. If requesting own insurance, provide insurer, policy number, expiry and certificate for manual approval. Carvenza's insurance benefits are excluded only as expressly specified in the approved schedule; statutory rights remain. Obtain permission before providing another person's reference details. References, insurance documents, payment history and extension records are used for assessment and administration and follow this notice's access, security, retention and complaint provisions. Weekly GoCardless collections use the agreed finite schedule and active mandate; extra fees are not debited merely because a mandate exists. Service-provider and retention details must be completed before launch.
